No negative invoices: returns, discounts and deductions done right
An eInvoice never carries a negative total or a negative line to reduce a sale. Here is the right document for returns, discounts, advances and deductions.
In short
From go-live, an eInvoice cannot use negative amounts to reduce a sale. Returns, cancellations and price cuts after the invoice go on a credit note. Discounts and advances you know about at invoicing go on the invoice as a discount line with a reason. The accounts team that raises invoices makes this change.
Why eInvoicing needs it
Today many templates show a return as a minus line, or deduct an advance as "less advance (-)". On paper this works. In eInvoicing, every document has a type, and a tax invoice (type 380) always means "the buyer owes this". A minus line on a tax invoice does not tell the buyer or the Federal Tax Authority (FTA) that a sale was reduced, and it carries no link to the sale it reduces.
The rules settle this. The PINT AE specification, the UAE format for eInvoices, says businesses cannot issue negative invoices; reverting an invoice is done only with a credit note. Ministerial Decision No. 243 of 2025 requires an Electronic Credit Note when a sale is cancelled, its price is reduced, goods are returned or an error occurred. A missing Electronic Credit Note costs AED 100 each.
A discount on the invoice is called an "allowance". It is a separate amount, with its own reason, that lowers the line or the invoice total while every amount stays positive.
What good looks like

| Scenario | Before (not allowed) | After |
|---|---|---|
| Customer returns goods | New invoice with quantity -10 and total AED -2,100.00 | Tax credit note naming the original invoice and date, reason DL8.61.1.D, goods or services returned, AED 2,000.00 plus VAT 100.00, all positive |
| Discount agreed before invoicing | Separate line "Discount -500.00" | Line at full price with a line discount of 500.00 and reason "trade discount", or an invoice-level discount with the same reason |
| Discount or rebate agreed after invoicing | Minus line on the next month's invoice | Tax credit note against the invoices it covers, reason DL8.61.1.C, the agreed price changed |
| Advance already invoiced | Final invoice line "Less advance -10,000.00", no link to the advance invoice | Final invoice lines at full value, each reduced by an allowance "Advance recovered, invoice ADV-2027-0031", the advance invoice number and date named as the preceding invoice, VAT on the balance only |
| Withholding tax or a levy the buyer deducts | Minus line "Withholding tax -1,200.00" | Invoice the full amount. Record the deduction when payment arrives |
| Correcting an overcharge | Invoice with a negative total | Tax credit note, reason DL8.61.1.E, error in the invoice |
Two limits to keep in mind:
- A discount on a line can never be more than the line itself. Spread an advance across the lines it covers.
- An invoice whose payable amount is zero is not sent. If an advance invoice already covered the whole order, no final invoice is needed.
How to fix it in Tally
- For a return or a reduction after the invoice, raise a Credit Note voucher, not a Sales voucher with minus quantities. See the credit notes guide for the reference and reason.
- For a discount you know at invoicing, use a discount ledger on the Sales voucher (for example "Trade Discount Allowed"), and put the reason in the ledger name or narration. Check with your Tally partner that the export carries it as a discount with a reason, not as a minus line.
- For an advance, keep the advance as its own Sales voucher (the advance tax invoice). On the final invoice, enter the goods at full value, add a discount ledger named "Advance recovered", and in the bill-wise details choose Agst Ref against the advance invoice. Type the advance invoice number in the narration as well.
- For withholding tax or levies the buyer deducts, invoice the full amount. Record the deduction on the Receipt voucher when the money arrives.
- Ask your Tally partner to block negative quantities and negative totals on Sales vouchers used for eInvoicing.
How to fix it in Excel or another system
Remove any minus line from the invoice template. Add discount columns instead:
| Column | Format | Example |
|---|---|---|
| Line discount amount | Positive number, 2 decimals | 500.00 |
| Line discount reason | Text | Trade discount |
| Preceding invoice number (for advances) | Text | ADV-2027-0031 |
| Preceding invoice date | YYYY-MM-DD | 2027-01-15 |
If you use an ERP, ask your ERP partner to map discounts and advance deductions to allowances with a reason, and to route every return or later reduction to a credit note.

Common questions
- Our system lets us send an invoice with a minus quantity. Is that allowed?
- No. A document with negative amounts still reaches the buyer and the Federal Tax Authority as a tax invoice, not as a reduction. Use a credit note for every reduction of a sale.
- How do we show a discount we agreed before invoicing?
- Show it on the invoice as a discount (an allowance) with a reason, on the line or for the whole invoice. The invoice total stays positive.
- The customer deducted withholding tax before paying us. Do we add a minus line?
- No. Invoice the full amount. The deduction is a payment matter: record it when the money arrives. Confirm with your tax advisor if your contract treats it differently.
