Your service provider's welcome email: why it matters
After you appoint your Accredited Service Provider in EmaraTax, it sends a welcome email. Find it, forward it, and keep that mailbox under your control.
In short
You appoint your eInvoicing service provider, called an Accredited Service Provider (ASP), in EmaraTax, the Federal Tax Authority (FTA) portal. The provider then sends a welcome or onboarding email to the email address on your EmaraTax account. Calculus staff need that email to set up your live account. Find it and forward it as soon as it arrives.
Why eInvoicing needs it
Under the eInvoicing guidelines, you start onboarding yourself, not the provider. The account admin of your EmaraTax account selects the eInvoicing tile, chooses the provider, and clicks "Proceed to ASP". The provider's own setup continues from there, and it contacts you at the details EmaraTax holds. The guidelines also tell you to check your company details in EmaraTax before onboarding, including your contact details.
If the welcome email goes to a mailbox nobody reads, setup stops. Nothing goes live, and the deadline does not move.
The deadlines come from Ministerial Decision No. 244 of 2025, as amended by Ministerial Decision No. 66 of 2026:
| Your revenue | Appoint an ASP by | Go live by |
|---|---|---|
| AED 50 million or more | 30 October 2026 | 1 January 2027 |
| Less than AED 50 million | 31 March 2027 | 1 July 2027 |
The first-phase appointment date was 31 July 2026 and was moved to 30 October 2026. The go-live date did not change.
Missing these dates costs money. Under Cabinet Decision No. 106 of 2025, failing to implement the eInvoicing system or to appoint an ASP on time carries a penalty of AED 5,000 for each month of delay, or part of a month.
What good looks like
Where the welcome email goes for an invented company, Gulf Spice Imports FZE:
| Before | After | |
|---|---|---|
| Email on EmaraTax | The personal work email of a finance manager who left last year | accounts@gulfspiceimports.ae, a shared mailbox |
| Who can read it | Nobody | The finance team, plus the owner |
| Welcome email | Not found | Found on the day it arrived and forwarded to Calculus staff |
The common problems we see:
- The email on EmaraTax belongs to an employee who has left.
- The email belongs to an overseas parent company or a group finance team abroad, who do not know what it is.
- The welcome email lands in spam or a quarantine folder.
- Someone opens it, assumes it is marketing, and deletes it.
How to fix it in Tally
Nothing changes in Tally for this step. The fix is in your mailbox and in EmaraTax. Keep your Tally company name and address the same as your EmaraTax details, so the details on your eInvoices match what the provider sets up.
How to fix it in Excel or another system
The same applies to Excel and ERP users. What matters is the mailbox:
- Log in to EmaraTax and check which email address is on your account.
- If it belongs to one person, change it to a shared mailbox your business controls, for example
accounts@yourcompany.ae. Do this before you appoint your ASP if you can. - After you appoint your ASP, watch that mailbox every day, including spam and quarantine folders. Ask your IT team to allow emails from your provider's domain.
- When the welcome email arrives, forward it to Calculus staff the same day, with any attachments.
- If a few days pass and you cannot find it, search every inbox that might hold it, including old employee mailboxes and the parent company's inbox. If you still cannot find it, contact Calculus staff.
