Buyer Master: what to collect from every customer
Each eInvoice is delivered to an address built from your customer's tax number. Here is what to hold for every UAE company, individual and overseas buyer.
In short
Keep one clean record for every customer you invoice: the Buyer Master. From go-live, your eInvoicing service provider reads the buyer details from this record on every invoice. Your finance team collects the details now, so the first eInvoice goes out right.
Why eInvoicing needs it
A paper or PDF invoice reaches the customer by email or by hand. An eInvoice travels over the UAE eInvoicing network instead. The network delivers it to the customer's network address, called the Peppol ID. The Peppol ID is built from the customer's 10-digit Tax Identification Number (TIN): the code 0235, then the TIN (for example 0235:1010101002). If the TIN is wrong, the invoice goes to the wrong company or does not arrive.
The eInvoice also carries the buyer's legal name, tax number, address line, city, emirate and country code in fixed fields. The Ministry of Finance mandatory fields list names each of these. The VAT Executive Regulation already requires the name, address and Tax Registration Number (TRN) of a registered recipient on a tax invoice.
What good looks like
| UAE company | UAE individual (no TRN) | Overseas buyer | |
|---|---|---|---|
| Buyer code | Short code, for example ALN001 | Not needed | Short code, for example GSI001 |
| Legal name | Exactly as on the trade licence | Name as today | Exactly as on its registration |
| Licence | Licence number and issuing authority | Not needed | Company registration number |
| Tax numbers | 15-digit TRN if VAT registered, and 10-digit TIN (confirmed) | None: a consumer sale is outside eInvoicing, so invoice as today | Its national tax number (for example its VAT number) |
| Address | Street address, city, emirate code | As today | Street address (not a P.O. Box only), city, region |
| Country | AE | AE | Two-letter code: SA, IN, NL |
| Peppol ID | 0235 + TIN | None | 0235:9900000099, the fixed endpoint for buyers outside the UAE network. Send the buyer its usual PDF copy as well. |
Emirate codes: AUH (Abu Dhabi), DXB (Dubai), SHJ (Sharjah), AJM (Ajman), UAQ (Umm Al Quwain), RAK (Ras Al Khaimah), FUJ (Fujairah).
Before and after, on an invented record:
| Field | Before | After |
|---|---|---|
| Name | Al Noor Trading (Dr.) | AL NOOR TRADING LLC |
| Address | P.O. Box 1234 | Office 204, Al Noor Building, Al Quoz |
| Emirate | Dubai | DXB |
| Country | AED | AE |
| TRN | (blank) | 100041283700003 |
| TIN | (blank) | Confirmed by the customer from EmaraTax |
Tags like "(Dr.)" or "($)" do not belong in the legal name. Put them in a notes field.
Never work out the TIN from the TRN. Ask for it. The TIN vs TRN guide explains why.
How to fix it in Tally
TallyPrime releases with UAE eInvoicing support add the fields you need to the party ledger.
- Open the customer: Alt+G (Go To) > Alter > Ledger, then pick the party.
- In the mailing details, enter the legal name as on the trade licence, the street address, the city, the emirate and the country.
- Under VAT registration details, set Registration type: Regular for a customer with a TRN, Unregistered for a business without one, Consumer for a private individual.
- Enter the TRN. Tally fills the TIN from the first 10 digits of the TRN. Check it against the TIN the customer confirmed, and overwrite it if it differs.
- Set Party registered on PEPPOL to Yes and enter the Peppol ID: 0235:, then the confirmed TIN.
- Save with Ctrl+A.
To fill many customers at once, use Alt+G > Update Party TRN, then F8 to show only the parties with missing details.
If your Tally release does not show these fields, keep the TIN and buyer code in the ledger notes for now, and tell Calculus staff.
How to fix it in Excel or another system
Keep one sheet named Buyer Master, one row per customer:
| Column | Format | Example |
|---|---|---|
| Buyer code | Short text, unique | ALN001 |
| Legal name | As on the trade licence | AL NOOR TRADING LLC |
| Licence number | Text | 123456 |
| Issuing authority | Text | Dubai Department of Economy and Tourism |
| TRN | 15 digits, formatted as text | 100041283700003 |
| TIN | 10 digits, formatted as text | As confirmed by the customer |
| TIN source | Text | EmaraTax screenshot, 12 Oct |
| Peppol ID | 0235: + TIN, formatted as text | 0235:1010101002 |
| Address line | Street, building, area | Office 204, Al Noor Building, Al Quoz |
| City | Text | Dubai |
| Emirate or region | Emirate code, or region abroad | DXB |
| Country | Two-letter code | AE |
Format the number columns as Text, or Excel drops the leading zero of 0235 and rounds long numbers. Use the buyer code on every invoice so each invoice matches one row.
If you use an ERP, ask your ERP partner to add fields to the customer master for the TIN, the Peppol ID, the licence number and authority, and the emirate code.

Common questions
- Can we fill the new fields from the data we already hold?
- Partly. Legal name, address and TRN often exist already, but check each one against the trade licence and VAT certificate. The 10-digit TIN and the emirate code are usually missing, so collect them from the customer.
- What do we collect from a domestic buyer compared with an overseas buyer?
- A UAE company gives its trade licence, VAT certificate and TRN, and its 10-digit TIN. An overseas buyer gives its legal name, street address, country and its own national tax or company registration number.
- Our customer record says the country is AED. Is that a problem?
- Yes. AED is a currency. The country must be a two-letter country code, for example AE for the UAE or SA for Saudi Arabia.
